About the Role
The Language Services Coordinator (Manager) will be responsible for overseeing all aspects of the company’s language services, including interpretation and translation. This role involves managing interpreters, coordinating schedules, ensuring quality service, and maintaining strong relationships with clients. The ideal candidate will have experience in language services management and demonstrate excellent organizational and communication skills.
Requirements
Knowledge in Linguistics, Communications, International Studies, or a related field (preferred).
At least 2 years of experience in language services management or a similar role.
Fluency in at least two languages (preferably English and a widely spoken language in your community).
Strong organizational and multitasking skills with the ability to manage multiple schedules and client needs.
Excellent communication skills (both written and verbal) and a client-focused approach.
Knowledge of translation and interpretation industry standards and ethical practices.
Ability to problem-solve and think quickly in high-pressure situations.
Proficiency with scheduling software, Microsoft Office Suite, and CRM systems.
Responsibilities
1. Language Service Operations Management
Oversee daily operations of the language services department, including scheduling interpreters and ensuring timely service delivery.
Ensure the delivery of high-quality interpretation and translation services (both in-person and remote).
Monitor and ensure compliance with company standards, policies, and regulations, including confidentiality and ethical guidelines.
2. Client Interaction & Communication
Act as the primary contact for clients requiring language services, providing information and assistance.
Collaborate with clients to understand their needs and ensure appropriate interpreter/translator assignments.
Maintain ongoing relationships with clients, ensuring satisfaction and addressing any issues that arise.
3. Interpreter & Translator Coordination
Recruit, onboard, and manage a team of qualified interpreters and translators.
Assign interpreters based on language expertise, availability, and client requirements.
Ensure interpreters are regularly trained and adhere to service quality standards.
4. Scheduling & Logistics Management
Coordinate and manage schedules for interpreters to ensure availability and avoid scheduling conflicts.
Handle urgent requests, cancellations, and changes efficiently, making necessary adjustments.
Maintain accurate records of interpreter assignments, including hours worked and client feedback.
5. Financial Oversight & Billing
Oversee billing for language services, ensuring accurate invoicing and timely payment collection.
Track revenue and expenses related to language services and assist in budget preparation.
Ensure proper financial documentation for services rendered and assist with financial reporting.
6. Marketing & Business Development
Promote language services to new clients, including businesses, healthcare providers, and educational institutions.
Collaborate with the marketing team to develop promotional materials and outreach strategies.
Build relationships with community partners and organizations to expand the reach of language services.
7. Compliance & Recordkeeping
Ensure compliance with relevant regulations (e.g., certification requirements, confidentiality agreements).
Maintain accurate records of services, interpreter certifications, and client feedback.
Assist with reporting and compliance documentation for audits and business reviews.
8. Quality Control & Client Feedback
Assess the quality of services provided by interpreters and translators through regular evaluations.
Collect and analyze client feedback to identify areas for improvement.
Address and resolve any service issues or complaints to ensure continuous service quality.
